This knowledge base article will help guide our student employees on how to submit their time worked in Workday. Hourly, non-exempt employees are required to enter all time worked and enter all time off breaks and meal periods in Workday every week.
On your Workday homepage, click the Student Central application under Your Top Apps.
Under My Time, select the Enter My Time action to begin entering your worked time.
In Workday, you can submit your time worked by two calendar views. Weekly and by Pay Period. By default, the weekly calendar will be displayed. If you want to switch to the Period Calendar, select the Period Calendar action on the top right corner of the screen. This will display the calendar by the pay period.
You can switch between calendars if you wish to enter your time weekly by selecting Actions -> Switch Calendar.
You can enter your time worked within the calendar multiple ways. Both the weekly view and the period view function very similar, so any actions you take can work in either calendar view.
One way to enter your time worked is to click the Actions drop-down menu where you can select various actions to take on submitting your time worked.
- Auto-fill from Prior Week: Allows you to populate the time entries that you entered from the prior week on the current week.
- Quick Add: Allows you to enter your same amount of time worked on multiple days of the week.
Auto-Fill from Prior Week
This option will bring in time entries from the previous week. You will want to select which prior week you want to auto-fill. Ensure those entries are accurate and make adjustments as necessary.
Quick Add
If you worked the same hours and time frames on multiple days, this action allows you to submit you the same time entries for the current week or period you are in. You will enter your start and end time and choose which days of the week you worked those hours.
Another way you can submit time worked is by clicking on the calendar day and a pop up will be displayed to enter your start and end times. Once you click OK, you hours will be entered.
Please note: You may not be able to enter time in a future pay period that has not yet been open. You will receive an error from Workday that the week is locked.
Both calendar displays show upcoming events on the particular week you are submitting your time entries such as period start and end dates as well as pay dates. These events will help you know how and when your hours are being submitted and when you will get paid.
Once you have all of your time worked entered, you will review and submit your time. After you submit your time card, it will be sent to your manager to review and to approve the time card before it is submitted to payroll for processing and payment.
