How do I make my voicemail non-messaging for extended absences?

Modified on Mon, 12 Feb 2018 at 02:53 PM

If you are going on sabbatical, medical or maternity leave, or otherwise not checking your voicemail for a month or more, you can make your voice mailbox non-messaging. This allows you to record an outgoing message directing callers to another on-campus number, and your voicemail will not record any incoming messages until you change it back.

Note: If you want to allow people to leave messages while you are gone, see the instructions at the bottom of the page.

The benefits of making your voicemail non-messaging include:

  • Saves you from having to listen to community messages concerning events that have already passed
  • Provides better customer service to your callers who will otherwise be waiting for your response to their messages, or worse, will be frustrated by not being able to leave a message because your mailbox is full
  • Saves valuable disk space on our voicemail system
  • You can easily shut off the extended absence greeting without having to record a new regular greeting

Instructions for Extended Absence Greeting:

  • Log into your mailbox by dialing extension 2222.
  • Press the pound (#) when prompted.
  • Enter your mailbox extension.
  • Enter your security code.
  • Press 4, then 7.
  • Record your absence greeting, making sure to refer the caller to another extension to call.
  • Press the pound (#) key to save the message.
  • Press the (*) to cancel the recording process.

Once completed, callers will be greeted with your greeting and your mailbox will not allow callers to leave a message.

To remove the Out-of-Office greeting:

  • Dial 2222.
  • Enter your extension number, and then your security code when prompted to do so.  The system will announce that the Out-of-Office greeting is on.
  • Press the number 4 to remove the Out-of-Office greeting.

To allow people to leave messages during your absence

The only way to allow people to leave messages while you are gone is to record an out-of-office message as your regular greeting.  When you return, you will then have to record a regular greeting again.

  • Log into your mailbox by dialing extension 2222.
  • Press the pound (#) when prompted.
  • Enter your mailbox extension.
  • Enter your security code.
  • Press 4, then 6.
  • Record your out-of-office greeting.
  • Press the pound (#) key to save the message.
  • Press the (*) to cancel the recording process.
  • Remember that you must follow these instructions when you return to record a regular greeting again.
